Checking out files
Checking out a file downloads a copy of the file to your computer where you can edit the file. Project Portal also locks the file so that other users cannot change it while it is checked out to you. The parent document is not locked. Files that are checked out to you appear in the Checked out section in the My recent items view.
Before you begin
To perform this task, you must be the owner of the document or a member of an access group that has been assigned an access profile with the Add permission for files.
To check out a file from the Documents view:
- In the documents list, click the button next to the file name that you want to check out. The File actions menu appears.
- Select Lock and checkout. The locked icon appears at the end of the document's name in the document list, the file is downloaded to the working folder on your computer, and the file opens in the native application on your computer.
To check out a file from its parent document's property page:
- In the navigation pane, select the parent folder of the document for which you want to check out a file.
- In the documents list, select the document for which you want to check out a file. The document's property page appears.
- In the Files list, the button next to the file name that you want to check out. The File actions menu appears.
- Select Lock and checkout. The locked icon appears at the end of the document's name in the document list, the file is downloaded to the working folder on your computer, and the file opens in the native application on your computer.
Note
- Your web browser will attempt to download the file to your computer. If your browser's security settings block the download, you might need to adjust the settings and retry this procedure.

If you know enough information about a document and its file, you can calculate the URL to the file to make your own links.
- The link to the latest version is in the syntax <server URL>/kronodoc/<workspace code>/<document code>/<filename>.
- The link to a specific version is in the syntax <server URL>/kronodoc/<workspace code>/<document code>/<major version code>/<filename>.
- The link to the approved version (if approval circulations are used) is in the syntax <server URL>/kronodoc/KDAPPR/<workspace code>/<document code>/<filename>.
